Text messaging for schools, colleges and nurseries

When the snow arrives or a coach is running late, parents need to know straight away. Orbis SMS helps school offices send clear messages to the right families quickly.

The challenge

Why schools & education turn to SMS

School offices deal with hundreds of families, each with different contact arrangements, and many parents miss emails and app notifications during the working day. Emergency closures, heating failures and transport delays need to reach every household within minutes, often before the office is fully staffed. Day-to-day, trip deadlines, parents' evenings and dinner money reminders generate a steady stream of phone calls. Staff also need reaching: supply cover, early briefings and site issues. All of this has to be done carefully, because schools hold data about children and families that must be handled responsibly.

How Orbis SMS helps

Messages that make a difference

  1. 1

    Emergency closures

Send one message to every family when the school must close because of snow, a heating failure or a burst pipe. Keeping a template ready means the head or office manager can send it within minutes early in the morning, before parents set off with their children.

  2. 2

    Trip and event reminders

Remind the relevant year group about trip departure times, kit lists, consent form deadlines and parents' evenings. Groups by class, year or club ensure only the families involved receive each message, which keeps texts relevant and stops parents tuning them out.

  3. 3

    Payment reminders

Send gentle reminders about trip balances, dinner money, music lessons or wraparound care. Keep them general and private, without naming the pupil in a way that could embarrass the family, and point parents to the usual payment method or the school office.

  4. 4

    Transport and timing changes

Let parents know when a coach is delayed on the way back from a trip, a fixture finishes late or pick-up arrangements change. A short message saves the office from fielding a wave of anxious phone calls at the end of the day.

  5. 5

    Staff alerts

Text staff about early briefings, cover arrangements, training days or site issues such as a closed car park. A separate staff group keeps these messages apart from parent communication and reaches colleagues who are not yet checking their school email.

Good practice

Compliance notes for schools & education

Parent contact details are personal data under UK GDPR, so keep them up to date, restrict who can send messages and remove leavers promptly. Think about separated parents and court orders before adding contacts, and never include sensitive information about a pupil, such as behaviour, attendance concerns or safeguarding matters, in a text. Fundraising and PTA promotions are marketing and need appropriate consent.

Questions

Frequently asked questions

Yes. Most management information systems can export contacts as a CSV, which you can import into Orbis SMS and organise into groups such as year groups or clubs. A direct live link to your MIS is not available today, so refresh the import each term and when families change.
Urgent operational messages about the school are not marketing, so PECR consent rules do not normally apply, but you still need a lawful basis under UK GDPR and a clear privacy notice. This is general information, not legal advice, so check with your data protection officer.
For now, tell parents in the message how to contact the school, for example by phone or through the school office, and use a recognisable sender ID so they know the text is genuine.
